Challenge
JD Occasion is an auto dealership in Quebec that was facing key management challenges, particularly with the organization of vehicle keys and constantly having keys go missing. It was often unclear where a vehicle’s key was at any given time, and when a key went missing it was difficult to track down the chain of custody. A physical lockbox system was needed to store the keys, and an accompanying key management software was required to effectively organize and keep track of the dealership’s hundreds of vehicle keys.
Solution
JD Occasion utilized Keycafe’s flexible permission options to manage key access to the different departments within the dealership. Each member of the sales team was given their own account with full access to all keys at all times, enabling them to quickly take out keys on short notice for test drives. Service staff also made individual accounts, but with limited access only to keys for vehicles being serviced. For mechanics and cleaning staff, each department was given one account for fast access and simplified management.
Result
For JD Occasion’s 50 employees, the results were apparent from the moment they started working with Keycafe. Keys stopped going missing, and users could see at any time who last took a key out, leading to locating the vehicle as well. Management now has the ability to quickly see the status of the entire fleet’s keys, and each department has the exact access they require to perform their duties efficiently.
